This Privacy Policy explains how Nanosoft collects, uses, stores, and shares information when you use this recruitment platform as a candidate (creating an account, completing a profile, applying for roles, and receiving communications). By accessing or using the platform in that capacity, you agree to this Privacy Policy.
1. Information We Collect
- Identity and contact details you provide (name, email, phone, account identifiers).
- Application data such as profile details, cover letters, questionnaire answers, and assessment or scoring outcomes.
- Security and authentication data including login attempts, verification events, and audit data needed to protect your account.
- Technical data such as IP address, browser/device details, and cookies used for authentication and tenant routing.
2. How We Use Information
- To run recruitment workflows for the organization you apply to, including reviewing applications and communicating about your candidacy.
- To secure accounts, detect unauthorized access, and maintain service integrity.
- To generate reports and analytics that support hiring decisions (processed by the hiring organization and platform operators as described here).
- To comply with law and enforce platform policies.
3. Communications and "From" addresses
Operational emails (verification, application updates, security notices) may be sent from Nanosoft infrastructure addresses even when you are interacting with a specific employer's branded portal. The employer remains responsible for its own hiring decisions and for much of the content of messages sent through the platform on its behalf.
4. Sharing of Information
- With the employer organization whose roles you apply to, and with service providers that support hosting, email, security, and system operations.
- When required by law, regulation, legal process, or lawful government request.
- As part of a merger, acquisition, financing, restructuring, or sale of business assets involving Nanosoft.
5. Data Retention and Deletion
Candidate and application records are retained for up to 24 months from the latest relevant activity by default, unless a longer retention period is required by law, dispute handling, audit, or legitimate business need. We may retain minimal records needed to meet legal and security obligations.
6. Data Security
We implement reasonable administrative, technical, and organizational safeguards. No internet-based system is fully secure, so absolute security cannot be guaranteed.
7. Your Choices and Rights
You may request access, correction, or deletion of your information where applicable. Certain requests may be limited by law, contractual, or security requirements.
